23. Explain the agreed ways of working for checking identity of people


Have you got your ID badge?

Some work settings will have an open policy for visiting and you might see people who you do not recognise.

In other work settings, you may need a security code or special access pass to get in. You may need to wear an identification badge with your photo.

You should never let a stranger into your workplace and never let a stranger walk unsupervised around your place of work.

Ensure visitors have a right or need to be there.

Do not give door access codes to people who do not have a right to them. You may have a procedure for visitors to wear a temporary visitor badge for the duration of their visit. 

You can check identity by:

  • Asking for photo identification.
  • Checking the photo is the same as the person.
  • Checking if they are expected at your place of work.
  • Contacting their employer to see if they are who they say they are.

If you are in any doubt do not let them in and contact your manager. If they are already in the building you can accompany them until they leave the premises or again, you can contact your manager immediately. If you meet someone in a building who you think should not be there, smile and politely ask them…

If they are visiting a relative or friend and you do not know them, they will be reassured by your actions that the person they are visiting is in a secure place.

Make sure all visitors sign in and then sign out again. 
This is both for security but also in the event that the premises has to be evacuated because of an emergency like a fire, their names can be checked at the Assembly Point. 
Failure to do this could send a fire fighter into a dangerous building to look for someone who is not there.
