Facilitating Dynamic Activities in Google Meet with Gemini

Module 5: Facilitating Dynamic Activities in Google Meet with Gemini

This module focuses on how to move away from "lecture-style" video calls and toward participatory, AI-supported activities. Using Gemini in Google Meet, you can facilitate complex group exercises, brainstorming, and real-time collaboration that feels as engaging as being in a physical room.

1. Designing AI-Powered Activities

Gemini acts as your co-facilitator. Instead of manually tracking progress or manually assigning tasks, you can use Gemini to structure the activity in real-time.

  • Scenario-Based "Live" Simulations: You can prompt Gemini to generate "injects" or "surprises" for a role-play activity.

    • Strategy: Before the meeting, give Gemini the scenario. During the call, open the Side Panel and ask: "Provide a new complication for this role-play scenario that the team must solve in the next 10 minutes."

  • Real-Time Synthesis during Brainstorms: Don't wait until the meeting ends to summarize.

    • Prompt during call: "Look at the transcript so far. Identify the three most popular ideas for the Q3 campaign and format them into a quick 'pros and cons' list in the chat."

  • The "AI Devil's Advocate": Use Gemini to challenge your team's assumptions.

    • Prompt during call: "Act as a skeptical competitor. Based on our current plan, give us three reasons why this strategy might fail."

2. Managing Group Dynamics with AI

Gemini helps you maintain control and focus, especially in larger meetings where engagement can drop off.

  • Managing "Voice Equity": If a few people are dominating, ask Gemini to help identify engagement.

    • Prompt: "Based on the transcript so far, have we heard input from all departments present, or are we missing a perspective?"

  • On-the-Fly Simplification: If you are explaining a complex process and see confusion on attendees' faces, highlight the transcript/notes and ask Gemini: "Simplify this technical explanation for someone who has no background in this specific project."

  • Dynamic Agenda Shifting: Use the AI to pivot when a meeting goes off-track.

    • Prompt: "We have 15 minutes left. Based on our discussion, create a summary agenda for the remaining time to ensure we reach a decision on the budget."

3. Interactive "Live" Document Editing

Activities are most effective when they are paired with a shared Google Doc or Sheet. Use Gemini in Meet to bridge the two.

  • Collaborative Documentation: During an activity, ask Gemini to "Populate a table in our shared Doc with the consensus points we just reached on this call."

  • Immediate Feedback Loops: If teams are working in breakout rooms, have Gemini summarize the key takeaways from each breakout transcript as they come back to the main room, allowing you to compare ideas instantly.

  • Smart Chip Integration: Use Gemini to automatically create "People Chips" or "Calendar Date Chips" in your shared notes for action items, making the document actionable before the meeting even ends.

4. Accessibility and Inclusive Engagement

AI makes it easier to ensure everyone feels included in the activity, regardless of language or accessibility needs.

  • Live Captioning & Translation: Enable translated captions for international participants so they can contribute to the activity in their native language.

  • Support for "Quiet" Contributors: Use the Meet Chat for activity contributions and ask Gemini: "Summarize the most interesting points made in the Meet chat for me to highlight for the group."

  • Diverse Output Methods: Gemini can help you offer different ways to participate.

    • Prompt: "I have a participant who prefers visual representation. What kind of quick whiteboard activity could they do based on the verbal ideas we just shared?"

Facilitator's Checklist for AI Activities

  • [ ] Did I activate "Take notes for me" to capture all activity output?

  • [ ] Do I have the Side Panel open to use Gemini as a co-facilitator?

  • [ ] Have I prepared my "Challenge Prompts" in advance for when the group needs to pivot?

  • [ ] Did I set a clear goal for the activity that Gemini can help track?
